Exhibitor Guidelines

FAPAC welcomes professionals from the military, government, and private sectors to leverage the NLTP for your business and networking goals. Breaks are designed to give attendees a chance to connect with a potential partner or employer at the Exhibition. Please review our Sponsorship & Exhibitors Package for all available options.

Assignments will be made on a first-come, first-served basis after the Exhibitor has completed and fully paid for their registration. In the event of conflicts regarding available space requested or conditions beyond our control, FAPAC reserves the right to rearrange the Exhibit Hall floor plan.

Please register as an Exhibitor by April 15, 2020. If you register as an Exhibitor after April 15, your organization's logo will not be in the printed program book. 


1.  Set Up Hours

Monday, May 11, 2020: 10:00 am - 5:00 pm or Tuesday, May 12, 2020: 8:00 am - 5:00 am

The exhibit area will be located in the West Belmont Place foyer. Each booth set-up includes one table (5 ft), tablecloth, and two chairs. You may bring pop-up banners, tabletop displays, and promotional swag. Access to electrical outlets may be provided upon request and availability. Additional charges may apply for special set-ups outside of the basic package. FAPAC and the National Conference Center are not responsible for lost or stolen items.

2.  Exhibit Hours

The exhibitor hall will be open from 8 am to 5 pm everyday. Breaks are included in the agenda to provide optimal time for Exhibitors and attendees to network. 
  • Tuesday May 12, 2020 - 8:00 am - 5:00 pm
  • Wednesday, May 13, 2020 - 8:00 am - 5:00 pm
  • Thursday, May 14, 2020 - 8:00 am - 5:00 pm

3.  Dismantle

  • Thursday, May 14, 2020 - 3:00 p.m. - 6:00 p.m.
  • Friday, May 15, 2020 - 8:00 a.m. – 11:00 a.m.

Please bring return shipping labels with tracking numbers for your return shipments. The National Conference Center does not provide boxes, tape, etc. Arrangements for all return shipping should be done prior to your departure through the NCC’s Business Center. FAPAC and the NCC are not responsible for dismantling/packing/shipping your exhibit material.

4. Registration

Exhibitors may register online through the main Registration page. When registering, select “Exhibitor” as your “Attendance Type”.  Please register all representatives who will attend and purchase any additional tickets as needed. Two Exhibitor options are available:

  • Exhibitor PLUS - $2,000: Includes two full registrations, VIP placement in the Exhibition Hall, basic booth package, and your organization's logo in online/print materials (by deadline)
  • Exhibitor - $1,250: Includes one full registration, basic booth package, and your organization's logo in online/print materials (by deadline)

Exhibitors must check-in at the Registration table. Please email exhibitors@fapac.org if you have questions or if your registration changes.

5. Advertisement Requirements

High quality TIFF or print ready PDF
 8.25″ x 10.875″ 
CMYK color
 Half-page, horizontal color ad:
Resolution: 300 dpi (dots per inch) or greater
 7.75' x 5"

6. Shipping Instructions

The NCC offers a full-service warehouse and mailroom for incoming and outgoing package and postage needs. Please ship your materials to arrive no later than Monday, May 11, 2020. All shipments & deliveries must be addressed in the following format:

The sender is responsible for receiving and handling fees. Pricing is subject to change.

 1 to 10 lbs  $6.00  61 to 100 lbs  $80.00
 11 to 21 lbs  $12.00  Over 100 lbs  $100.00
 22 to 41 lbs  $25.00  Crate pallets  $275.00 each
 42 to 60 lbs  $50.00    

The National Conference Center or FAPAC accept no responsibility for storage or security of any item that have been provided by an outside vendor. All vendors must remove all their equipment & supplies at the end of their event.
