Exhibitor Guidelines

FAPAC welcomes professionals from the military, government, and private sectors to leverage the NLTP for your business and networking goals. Breaks are designed to give attendees a chance to connect with a potential partner or employer at the Exhibition. 

Table assignments will be posted online and emailed to all Exhibitors by May 8, 2023. Assignments will be made on a first-come, first-served basis after the Exhibitor has completed and fully paid for their registration. In the event of conflicts regarding available space requested or conditions beyond our control, FAPAC reserves the right to rearrange the Exhibit area floor plan.

1.  Booth Set Up

    • Monday, May 8, 2023: 8:00 am - 5:00 pm
    • Tuesday, May 9, 2023: 7:00 am - 9:00 am
    The exhibit area will be located in the Westin Long Beach located at 333 E. Ocean Blvd, Long Beach CA 90802. Each booth set-up includes one table (6 ft), tablecloth, and two chairs. You may bring pop-up banners, tabletop displays, and promotional swag. Access to electrical outlets may be provided upon request and availability. Additional charges may apply for special set-ups outside of the basic package. FAPAC and the Westin Long Beach are not responsible for lost or stolen items.

      2.  Exhibit Hours

        The exhibitor area will be open from 8am to 5pm every day. Breaks are included in the agenda to provide optimal time for Exhibitors and attendees to network. 

        ·        Tuesday May 9, 2023 - 10:00 am - 10:30 pm, 11:30 am - 1:30 pm, and 3:00 pm - 3:30 pm
        ·        Wednesday, May 10, 2023 - 10:00 am - 10:30 pm, 1:15 pm - 1:30 pm, and 3:00 pm - 3:30 pm
        ·        Thursday, May 11, 2023 - 10:00 am - 10:30 pm and 3:00 pm - 3:30 pm

          3. Registration

          Upon arrival at the Westin Long Beach, Exhibitors may check-in at the Registration table.

          • Monday May 8, 2023 8:00 am -5pm
          • Tuesday , May 9, 2023: 8:00 am-5pm

          4. Booth Dismantle

          • Thursday, May 11, 2023  3:30 pm – 9:00 pm 
          • Friday, May 12, 2023   8:00 am – 12:00 pm
            Please bring return shipping labels with tracking numbers for your return shipments. The hotel does not provide boxes, tape, etc. Arrangements for all return shipping should be done prior to your departure through the hotel’s Business Center. FAPAC and the Westin Long Beach are not responsible for dismantling/packing/shipping your exhibit material.

              5. Online Registration

              Exhibitors may register online through the main Registration page. When registering, select “Exhibitor” as your “Attendance Type”.  Please register all representatives who will attend and purchase any additional tickets as needed. Two Exhibitor options are available:

              ·        Exhibitor PLUS - $2,000: Includes two full registrations, VIP placement in Exhibition area, 1/4 page advertisement in program book (by deadline), and your logo on all print/online media

              ·        Exhibitor - $1,250: Includes one full registration, 1/4 page advertisement in program book (by deadline), and your logo on NLTP print/online media

              Exhibitors may check-in at the Registration table.  Please email registration@fapac.org if you have questions or if your registration changes.


              6. Requirements for Printing Program Book by April 7

               Full page color ad:
               8.5″ x 11″ + .125″ bleed all sides or
              High quality TIFF or print ready PDF

               7.5” x 10.5” (perfect-bound)

              CMYK color
               Half-page, horizontal color ad: 7.5" x 4.75"
              Resolution: 300 dpi (dots per inch) or greater

               Quarter-page, vertical color ad: 3.5" x 4.75"


                7.  Cancellation

                Cancellation requests received by April 22 will be honored less a $75 administrative fee. No refunds will be given after April 22, 2023. Please email registration@fapac.org if you have questions or if your registration changes.

                  8.  Shipping Instructions

                  Please ship your materials to arrive no later than Monday, May 8, 2023. All shipments & deliveries must be addressed in the following format:

                  All INCOMING shipments must be PREPAID. The Westin Long Beach will NOT accept C.O.D or freight collect deliveries.

                  • $10/Box or Package
                  • $200/Pallet or Crate

                  All OUTGOING shipments must have a PREPAID label and/or account number for a preferred shipping company must be provided.

                  The Westin Long Beach or FAPAC accept no responsibility for storage or security of any items that have been provided by an outside vendor. All vendors must remove all their equipment & supplies at the end of their event.

                    9.  Additional Exhibitor Information

                    All displays, exhibits and equipment must enter the hotel through the loading dock on Elm Street. Delivery time must be coordinated with the hotel in advance. Special ingress and egress requirements apply for all Centennial Ballroom, Ocean Ballroom and all other Meeting Rooms. In addition, a Certificate of Insurance will be required two weeks prior to the event. Under no circumstance is any exhibitor allowed to attach to the walls and ceilings. Exhibitors are responsible for ensuring all exhibits, display booths, equipment, and associated materials are removed when they depart the NLTP.

                        10.  Insurance & Liability 

                        Liability and indemnification are the responsibility of the exhibitor. The exhibitor assumes entire responsibility and hereby agrees to protect, indemnify, defend and hold harmless FAPAC and the Westin long Beach and their officers, directors, employees and agents against all claims, losses and damages to persons or property caused by exhibitor’s installation, removal, maintenance, occupancy or use of the exhibition premises or a part thereof, excluding any such liability caused by the sole negligence of FAPAC or by the sole negligence of the Westin Long Beach, its employees or agents. Insurance is to be secured at the exhibitor’s own expense.
